The project sitting on your list may only need a clear finish point

Most organisations have at least one useful piece of work that keeps moving from one meeting agenda to the next. Everyone agrees it matters, but the people who would normally lead it are already busy with day-to-day work.

It might be a reporting process that needs tidying up, a backlog of actions, a service change that has lost momentum, or a collection of documents that needs to be brought together. The difficulty is often less about the idea itself and more about finding time to define the work and see it through.

I saw this frequently in my NHS service management and transformation roles. A project became much easier to move forward once the outcome, decisions, people and timescale were visible. The same principle applies to a small business, a charity or a larger team.

Start with the outcome, not the task list

“Sort the admin” or “improve the process” is a difficult brief to act on. A better starting point is to describe what someone will be able to use when the work is complete. That might be an action tracker with named owners, a documented process, an organised evidence folder, or a schedule for a change that has already been agreed.

Then ask four practical questions: What problem does this solve? Who needs to be involved or make decisions? What is a realistic finish date? How will the result be handed over? These questions give both the organisation and the person doing the work a shared definition of success.

Make the scope small enough to finish

A one-off assignment can be a sensible way to make progress without committing to a permanent hire or an open-ended arrangement. For example, external support could help a team map a process, coordinate outstanding actions, prepare a project update or bring a backlog into a usable system.

The scope matters. Agree what is included, what information is needed, the points where a decision is required, and what the final deliverable will be. If the work reveals a larger issue, that can be considered separately rather than allowed to expand silently.

Planning for the months ahead

Autumn is a useful time for many teams to review their priorities. Some are preparing budgets and deciding which improvements are realistic before the end of their financial year. Others simply want to enter the new calendar year with fewer unfinished jobs. The exact timing differs between organisations, but the question is the same: which piece of work would make a noticeable difference if it were completed?

Support is most valuable when it addresses an approved need and leaves something useful behind. A clear schedule, a reliable tracker or a process that colleagues can follow can continue to help long after the assignment has ended.

If a project has been waiting for someone to give it structure, it may not need a complicated new programme. It may need a defined outcome, a realistic plan and someone with time to coordinate the next steps.
